Payroll and Accounts Payable Manager

Position Purpose 

We are seeking a highly organized individual to join our team as a Payroll and Accounts Payable Manager and help contribute to the success of our mission-driven organization focused on education improvement.

This full time exempt position reports to the Controller and plays a critical role in managing our multistate payroll, accounts payable and cash management processes  The ideal candidate is a meticulous, disciplined and detail-oriented individual who is effective at collaborating across an organization. This position is largely remote, but onsite attendance at our Stanford office one day per week is preferred.

Essential Responsibilities

  • Payroll (40%)
    • Processing multi-state payroll
    • Processing and submitting retirement plan data and payments
    • Ability to communicate effectively across the organization
    • Produce payroll journal entry
    • Maintain vacation & sick leave balances
  • Accounts Payable (45%)
    • Entering invoices into the system
    • Verifying all invoice requirements have been met before processing
    • Print and mail checks
    • Reviewing and approving credit card and employee reimbursements via Concur
    • Ability to communicate effectively both across the organization and externally
  • Audit & Tax (5%)
    • Production of numerous schedules that tie to the general ledger
    • Gathering of documentation as required by the auditor
    • Researching of auditor questions
  • Cash management (5%)
    • Monitoring of cash accounts on a daily basis
    • Weekly forecasting of cash needs
    • Initiation of wires from bank and investment accounts

Non-Essential Responsibilities

  • Provide backup to other Finance team members as needed (2%)
  • Other tasks as assigned by the Controller (3%)

Required Education & Experience 

  • Associate’s degree or higher
  • Proficiency with processing payroll and managing an online payroll system
  • Experience of at least two annual audits with one employer
  • A minimum of Intermediate proficiency with Excel

Required Knowledge, Skills, and Abilities

  • Experience processing multi-state payrolls
  • Experience managing retirement plan payments
  • Experience producing journal entries
  • Experience maintaining vacation and sick leave balances
  • Experience processing invoices
  • Experience working with auditors
  • Experience monitoring bank account balances
  • Experience disbursing funds via wire and/or ACH
  • Experience with nonprofit and/or educational organizations
  • Excellent written and oral communication skills
  • Improvement-focused, flexible and open to change

Compensation & Benefits

  • The salary range for this position is $100,000 – $110,000
